What’s New in Acumatica 2019 R2


Acumatica’s second major release of 2019 (2019 R2) is launching the week of September 11. The semi-annual update to the popular cloud ERP solution contains a number of compelling new features, particular in the area of financial accounting.

Predefined User Security Roles

The current, disturbing cybersecurity threat environment—along with the usual compliance regulations—are putting a premium on establishing clear user roles. Hackers can exploit security role errors to penetrate deep into confidential data. To mitigate this risk, Acumatica is embedding an access control countermeasure right into 2019 R2.

Now, it is possible to assign a user a pre-defined user role. For example, if you’re onboarding (or transferring) an employee into Accounts Payable (AP) management, you can select from a preset AP user or AP administrator role. The role has all the systemic access privileges that the user will need to perform the job.

The advantage of the pre-determined role is that it enables you to avoid to assigning role-based privileges one at a time. This practice leads to problems, such as when an employee changes jobs but retains an old access privilege. That opens the door to hacking, fraud and abuse. A new reporting feature gives you a quick overview of everyone’s predefined role permissions.

Cost Accrual for Non-Stock Items

Earlier versions of Acumatica had limited functionality to deal with charging costs against a non-stock item. With a standard product for sale, the system would instantly accrue its costs upon sale. This process provides immediate reporting on profitability. For non-stock items, it took several manual steps to perform this costing. Now, in 2019 R2, the cost accrues upon invoicing. It is also possible to keep a General Ledger (GL) account to track the totals.

Purchase Order Prepayment Enhancements

Acumatica 2019 R2 has upgraded its features for applying pre-payments to Purchase Orders (POs). Previously, it was not easy to apply a pre-payment against an open PO. For instance, if your vendor requires a deposit in advance of starting work, it is a best practice to show the deposit has been applied to the PO. 2019 R2 makes this much easier. For example, Acumatica now automatically tracks quantities paid for in a prepayment against the PO.

The interface enables you to apply a single prepayment to multiple POs as well. This capability reflects the reality of how accountings works in most businesses, e.g. the UPS driver appears and needs a COD payment to cover three different deliveries, each of which is on a different PO.

Other Highlights of Acumatica 2019 R2

There are many other new features and enhancements in Acumatica 2019 R2. They include:

  • SMS text message notification for business events
  • Dashboards and data visualization enhancements
  • Conditional formatting for dashboard tables
  • A simplified company/branch selector
  • Corporate credit card support
  • Simplified approval of Accounts Receivable (AR) invoices, credit and debit memos
  • Improved detail levels in the Project Budget feature
  • Enhanced project budget forecasts
  • Warehouse Management System (WMS) batch picking
  • Ability to change vendors on Purchase Orders
  • Automatic defining of fieldservice orders
  • Project Accounting integration for service contracts, project schedules and tasks
  • Engineering Change Control (ECC) in manufacturing
  • Improved Materials Requirement Planning (MRP) forecasting
